Joiner kit policy template

The joiner-kit policy defines what a new employee receives, when, and who is accountable. Template language: "Uniform damage is classified as: (a) operational — resulting from normal job duties, replaced at company expense without delay; (b) negligent — resulting from improper care, unauthorised modification, or misuse, replaced at employee expense per Schedule A. Negligent damage determination is made by the line manager with HR review within 5 business days." Disciplinary handling: repeated negligent damage (3+ incidents in 12 months) triggers a formal HR review. Unauthorised modification — scissors, pins, dye, non-approved patches — is treated as negligent damage regardless of reason, because modifications void compliance certification on the garment. This clause is especially important for healthcare and aviation uniforms where antimicrobial or FR certification requires the garment to be in original factory condition.
